Job Announcement: Executive Assistant

Location: Blue Mountain Hospital

Reports To: Human Resources Manager

Job Overview:

The Executive Assistant at Blue Mountain Hospital is pivotal in supporting the hospital's executive team and department managers. The position requires exceptional communication skills, strong organizational abilities, and the ability to handle multiple tasks with efficiency and discretion.

Key Responsibilities:

  • Administrative & Clerical Support: Perform general clerical duties, screen visitors, answer and transfer phone calls, and provide registration desk coverage as needed.

  • Employee & Provider Credentialing: Manage monthly licensing, credentialing, and certification notifications, including provider credentialing, primary source verification, and employment opportunity postings.

  • Meeting & Event Coordination: Prepare materials for internal meetings, Board of Directors, and Medical Staff meetings, including PowerPoint presentations, agendas, and minutes. Organize annual events like the 5K race and employee recognition programs (Years of Service awards, Thumbs Up recognition, birthdays).

  • New Hire & Wellness Programs: Assist in New Hire Orientation and serve as the Wellness Program Coordinator to promote employee well-being.

  • Special Projects & Team Support: Assist department managers and the administrative team with various projects as requested, ensuring effective coordination and execution.

Qualifications:

  • Education: High School Diploma required; Associate Degree preferred.
  • Experience: 3+ years in an administrative assistant role.
  • Skills & Abilities:
    • Strong verbal and written communication skills.
    • Excellent organizational and time management abilities.
    • High attention to detail and accuracy.
    • Discretion in handling confidential information.
    • Proficiency in Google Office Suite and relevant software.
    • Ability to work independently and as part of a team.
    • Professionalism and adaptability in a fast-paced environment.
